The right records. In the same review.

Bring invoices, remittances, shipment records and commercial terms into a case that your finance team can explain.

Evidence management is about relationships, not attachment volume. A useful record identifies the relevant customer, transaction, period and quantity. A useful case explains why that record supports the proposed next step.

Connect the identifiers.

Keep customer accounts, purchase orders, shipment references and invoice numbers attached to their source records. Check units of measure and effective terms. The same filename or amount does not establish that a document belongs to the case.

Make gaps actionable.

State the missing record and the question it needs to answer. Assign the request to the person who can resolve it. Preserve conflicting information rather than replacing it with an assumption or hiding it behind a completion label.

Retain the decision trail.

Keep source records, reviewer notes and the approved packet distinct. Record revisions and submission confirmations. A later reviewer should be able to reconstruct the reasoning without searching across several tools or inboxes.
