An approved dispute is not automatically cash received. Track the external decision, the credit or repayment, its appearance in a remittance or bank receipt, and the resulting accounting treatment. Reconcile the records before reporting a settled result.
1. Record what was submitted.
Keep the deduction reference, disputed amount, evidence, submission time and external confirmation together. A prepared packet is a draft until the receiving system confirms submission.
2. Preserve the actual decision.
Record whether the request was approved, partially approved, rejected or returned for more information. A partial approval should not be reported as approval of the full dispute amount.
3. Find the financial adjustment.
Look for the credit, repayment or offset in the records that apply to that customer. Keep the adjustment reference and date attached to the original deduction so a later payment can be matched.
4. Reconcile the effect.
A credit applied to a later remittance and a separate cash receipt can both affect the balance, but they are not the same event. An authorized accounting owner should confirm the treatment and ensure the same result is not counted twice.
5. Keep reversals visible.
A later reversal or correction may reopen work that appeared complete. Preserve the history and update the settled amount rather than leaving a stale success status in the record.
A useful weekly view.
Separate awaiting evidence, ready for review, submitted, awaiting decision, approved awaiting settlement, reconciled and reopened. Assign an owner and a next step to each unresolved case.
