Evaluate a deduction workflow on the same defined set of cases. Compare coverage, evidence quality, decision controls, customer effort and reconciled outcomes. A recovery percentage without a clear denominator, time period and settlement definition is difficult to interpret.
Define a representative workload.
Include valid charges, low-value cases, ambiguous records and difficult exceptions. Separate recurring volume from a historical backlog. Record which accounts and categories are included and why others are excluded. A sample made only of obvious disputes will not show how the workflow handles the work your team actually receives.
Inspect the evidence and decision trail.
Ask to follow one case from original charge through the supporting documents and approval. Check how missing information, conflicting evidence and changed terms are handled. Look for a clear owner at each handoff. The reviewer should be able to explain the proposed action without relying on an unexplained confidence score.
Measure the customer’s work.
Count the time spent finding files, correcting data, reviewing proposals and reconciling results. Include implementation and ongoing maintenance. A workflow that moves tasks into a new inbox may change visibility without reducing total effort. Compare the whole operating cost across the same workload and evaluation period.
Agree outcome definitions before the evaluation.
Distinguish amount identified, amount disputed, approved adjustment and reconciled result. Define treatment of partial approvals, credits, offsets and reversals. Ask what happens when a charge is valid or cannot be supported. Correct acceptance and a documented unresolved question can both be appropriate outcomes.
Confirm commercial and implementation scope.
Document supported channels, access methods, permissions, responsibilities, fees and exclusions. Clarify what requires customer approval and which work remains outside the engagement. Review data handling and exit requirements with the responsible owners. A useful evaluation should end with a clear operating decision and a record of the evidence behind it.
