Deduction terminology describes different records and events. A remittance explains a customer’s payment allocation; a deduction reduces that payment; a dispute requests a correction; reconciliation confirms the resulting financial effect. Keeping the terms distinct makes case status and reporting clearer.

Deduction and short payment.

A deduction is an amount the customer subtracts from a payment. A short payment describes the resulting difference from an amount billed or due. The difference can have several causes. Keep each reason linked to its own review so a single payment does not become one unexplained adjustment.

Remittance and invoice.

An invoice records the amount billed for the transaction. A remittance describes how a customer allocates a payment and may include adjustment detail. Those documents answer different questions. Match their references and amounts before deciding what remains open, particularly when one receipt covers several invoices.

Allowance and credit memo.

An allowance is a commercial adjustment agreed under specified conditions, such as a promotion. A credit memo is a financial document recording a credit. A valid allowance may lead to a deduction or credit, but the existence of an agreement does not prove that a particular amount or period is correct.

Shipping notice and proof of delivery.

A shipping notice describes the shipment being sent; a proof-of-delivery record relates to delivery. X12 identifies the 856 as the Ship Notice/Manifest transaction. A notice does not independently prove receipt. Review the receiving evidence, transaction identifiers and any exceptions when a deduction depends on the quantity delivered.

Approval, settlement and reconciliation.

Approval records a decision on a request. Settlement is the resulting credit, payment or offset. Reconciliation confirms how that event affects the relevant financial records. These should be separate statuses. A case may be approved while still waiting for settlement, or settled while a reference mismatch remains to be resolved.
